Bay Ship & Yacht Co., is a modern shipyard located on the waterfront of San Francisco Bay. We are seeking strong candidates with 3-5 years’ experience for our Purchasing Agent position. The Purchasing Agent is responsible for the best value sourcing of materials and services, including management of purchase orders, vendors, customers and documentation.
Duties for the position include, but are not limited to:
- PURCHASE ORDER PROCESSING
- Review requisitions to ensure accuracy. Identify whether PO is taxable or not and obtain proper approvals.
- Prepare and process purchase orders, establish payment terms.
- Ensure compliance with the BSY Material Management Procedure, and all other procurement related BSY policies, by all participants (Requestors, Procurement Specialist & Purchasing). Do not process a PO if policy and procedure has not been correctly followed upstream.
- VENDOR MANAGEMENT
- Maintain effective communication and working relationships with vendors.
- Routinely research, compare and procure best value (cost, quality, and delivery) products and services.
- Ensure that frequently patronized vendors maintain competitive pricing and quality. Get feedback from project managers and technical managers to ensure that the vendor is providing products and services as required.
- CUSTOMER MANAGEMENT
- Provide exceptional service to requestors.
- Ensure that requestors always comply with procurement policy and procedure.
- Routinely monitor and communicate lead times, status updates and delivery dates; expedite orders as necessary to meet project schedules.
- DOCUMENT MANAGEMENT
- Maintain organized records of all transactions, purchase orders, receipts, and payments.
- Update Fusion vendor files with new vendors, new employees, and changes of addresses.
- Access AP log and update/receive PO’s accordingly for prompt payment.
- GENERAL
- Assist and support Receiving as needed, train new Receiving personnel and research order issues.
- Accomplish additional tasks as assigned and as necessary for the success of the organization.
Minimum Qualifications:
- 3-5 years of experience in a similar role.
- Must have strong written and verbal skills.
- Interpersonal skills such as teamwork and good listening skills.
- The ability to always provide excellent customer service to all vendors and customers within a diverse workforce.
- Must possess excellent judgment and decision-making.
- Negotiation skills.
- Ability to meet deadlines consistently and with a calm demeanor.
- Intermediate or advanced skill level in Outlook, Excel and the rest of Microsoft Suite.
- Knowledge of procurement software and tools.
- Fusion background preferred.
